Key Responsibilities:
John Kasperek Co., Inc. seeks an energetic Scheduling Coordinator to work in a fast-paced, agile environment. The Scheduling Coordinator will administer the firm's audit, consulting and tax engagement scheduling process. The incumbent tracks staffing utilization and performs statistical reporting for the firm’s partners and managers to maximize service delivery. The Scheduling Coordinator works with Managers and Partners to develop six-month capacity forecasts and monitors all team members’ schedules using scheduling software in order to meet client requirements and enhance utilization and efficiency.
Scheduling Coordinators must have a minimum 3 consecutive years of experience scheduling staff/client engagements and will perform the following duties:
- Implements six-month and annual schedules based on established budgets, client requests and deadlines, staff development program requirements, and PTO requests
- Working with Audit or Tax Managers, consistently reviews audit or tax staff schedules for balancing workloads, managing capacity and issues in order to ensure maximum efficiency
- Reviews potential scheduling solutions when new jobs arrive or engagements are completed, and facilitates changes through employees’ schedules
- Develops strong working relationships and maintains open communication with all levels regarding team member availability to ensure maximum team member utilization
- Establish relationships and open lines of communication with clients to ensure proper coordination
- Implements new software and maintains vendor relationships to gain access to new reports, request changes, communicate problems, and facilitate upgrades
- Serves as main contact for all team members on the training and utilization of software, including setting up all new team members in the system
- Records all trainings, PTO, meetings and other firm events into the calendar for all team members
- Works with the Partners and affected managers to get all PTO requests approved
- Maintains strong working relationships with managers to facilitate scheduling requests and scheduling confirmations
- Makes changes to team member schedules via task requests
- Prepares scheduling reports for firm meetings
- Facilitate field work and monitor and report job time budget
- Prepares weekly reports for Partner and Manager review
Basic Qualifications:
- Previous experience in logistics, training or operations with staff, project or event scheduling
- 3-5 years progressive administrative and project management experience
- Ability to multi-task and manage conflicting priorities in a fast-paced environment
- Excellent communication skills, both verbal and written
- Strong technology skills, including MS Office Suite
- Strong attention to detail and organizational skills
Preferred Qualifications:
- Bachelor's Degree in Business Administration or Accounting
- Experience working in a professional services firm
- Experience with scheduling software such as ProStaff
